OOLS 2022 AGM - Saturday 7th January (2023) at 3pm
The holding of an annual AGM is a requirement of the club constitution. In recent years pandemic restrictions resulted in the club moving away from the physical meeting format by taking advantage of modern day technology and utilising online virtual meeting software. This resulted in more members being able to take part in the AGM and the committee have agreed that we should continue with this format.
This year we will again be using the Microsoft Teams 'free' version. This version does not include the facility to record the meeting and although this would have been an excellent aid to generating meeting notes, the ongoing monthly cost of even the cheapest business version of Teams cannot be justified (for a product that is only used a couple of times a year) so again we will stick with the 'free' version of the software.
The meeting has been moved to January 2023 because of the difficulty of finding a free date in both the committee and club members very busy run into Christmas. A recommendation to resolve this issue has been included on the agenda.
How will it work
A new discussion titled OOLS Club 2022 AGM will be created on the forum.
The meeting agenda will be posted for all members to review before the AGM
Any member who would like to take part should submit a contact email address to membership@oolivesteam.com
Prior to the the day a clickable link to access the meeting will be sent to all members who have provided an email address. Clicking on this link when you are ready to join will either activate the Teams software or, if Teams is not present on your PC/Tablet/phone, it will download the Teams app and activate the link.
You will be asked to provide a name and to help others know who you are and also help compile the meeting notes (attendance) please use your full name.
To provide time for those not familiar with the process the meeting log in will be available from 2.45pm Saturday 7th January 2022. The meeting proper will begin at 3pm.
Please turn on your camera but mute your microphone until you need to speak.
The meeting software will be managed by the club secretary Chris Oakes The software has a 'hand' icon and clicking on this will indicate to Chris that you would like to make to comment.
Please note: The meeting will not be recorded. Key details will be recorded by hand and used to generate 'Notes of the meeting' for the website. This may on occasions require a slight pause in the proceedings and clear notification will be given should this be necessary.
